Privacy
Last updated: October 2026
This policy explains, in plain language, what iconikschools.com keeps about you, why we keep it, and who can see it. It covers this website: your account and My Codes, the “Find my code” help chat, the contact form, and calls to our office line answered by our automated phone assistant. Ordering pictures happens in our online picture store, which has its own privacy policy.
What we keep
- Your account — the email address you sign up with, when you created the account, and when you last signed in. Your password is stored scrambled; no one at Iconik can read it.
- Your saved codes — the online codes you save on My Codes or from the help chat, and the label on each one (for example, a child’s first name).
- Help-chat messages — what you type into the help chat and its replies, kept for 30 days and then deleted. If you ask the chat to pass your question to our office, it becomes a contact message (below).
- Who was given an online code — before the help chat or our phone assistant gives out an online code, it asks your name and how you’re related to the student. For each code it gives out, we keep the code, the name and relationship you gave, whose code it is (the student, staff member or team) with their school and pictures, whether it was the chat or a call and how the code was given (on screen, read aloud, texted or emailed), when, and the number you called from (for the chat, a scrambled form of your internet address). We keep this record for one year and then delete it, so our office can tell who was given a code if it’s ever misused.
- Phone calls with our assistant — every call is announced as recorded. We keep what was said (with any online code removed), the number you called from, and any message you leave for our office, for 30 days, and then delete it (the record of codes given out, above, is kept for a year). A voicemail recording is deleted after 30 days too. If you ask the assistant to text you a code, we text it once to the number you called from; see Text Messages.
- Contact messages — your name, email, school, phone number (if you give one) and message when you use the contact form, plus our replies.
What we use it for
To help you: finding your online codes, checking on your picture orders, and answering your questions. The one-year record of who was given an online code has one more use: to find out who was given a code if it’s ever misused. We look at how many people have accounts and which schools they’re connected to so we can serve those schools well. We don’t send marketing email from your account, and we never sell or rent your information to anyone.
Who sees it
Only Iconik office staff, and only to help you, run the website, or look into a misused code. To find your codes and orders, the website asks our picture store and our photo lab directly; it doesn’t keep its own copy of your children’s information, apart from the one-year record of codes given out (above).
A few companies run parts of the website for us and handle your information only to do that job: our website and database hosts, the AI service that writes the help chat’s replies, the bot check that protects the help chat, the services that send our emails and texts, and the phone services that answer our office line (the AI phone service doesn’t use our calls to train its AI, and keeps a call’s recording and transcript for no more than a day).
Children
Accounts are for parents and guardians. We don’t knowingly let children create accounts. A child’s name appears on this website only where a parent types it, such as a label on a saved code — with one exception: a student’s name is also kept, as our picture records have it, in the one-year record of who was given an online code (above).
Deleting your account
You can remove any saved code yourself on My Codes. To have your whole account deleted — your email, your saved codes and their labels — email office@iconikschools.com or call 618-842-9542 from the email address on the account, and we’ll delete it and let you know when it’s done.
Questions
If you have any question about your information, please contact us. If we change this policy, we’ll update the date at the top of this page.
